    GDPR

    Data protection is built into Brio from the ground up.

    • Brio's platform, databases and file storage are hosted in the EU.
    • Our data processing agreement under Art. 28 GDPR, in German and English, is part of every contract.
    • We keep a full record of processing activities under Art. 30 GDPR, last updated in October 2026.
    • Email addresses, phone numbers, passwords and tokens are stripped from request data before it is logged.

    DORA

    Brio is ready for banks, insurers and other financial entities. Our information security management system is built for what DORA expects from your ICT third-party service providers:

    • an ICT business continuity policy with defined recovery targets, tested every year
    • a business impact analysis and a register of our ICT service providers
    • an incident response plan with a dedicated DORA reporting playbook that supports your own reporting obligations
    • yearly resilience testing, including independent penetration tests

    Your third-party risk team gets the documentation it needs for its assessment.

    Brio stands for transparent AI that serves people.

    • Learners always know they are practising with AI. Brio tells them that everyone they talk to, every voice they hear and every piece of feedback they read is generated by AI, and explains it on a dedicated AI transparency page.
    • Brio's feedback and scores are built for practice and coaching.
    • You stay in control: your admins decide what your teams practise.

    Your data stays yours.

    Hosted in the EU, run from Frankfurt

    Brio runs in Frankfurt, Germany. Application servers, databases and file storage are all hosted in the EU.

    Voice stays in the EU

    Your team's voice never leaves the EU: speech recognition, voice synthesis and the real-time audio connection all run on EU infrastructure, with EU data residency.

    Encrypted in transit and at rest

    • In transit: all traffic to Brio is encrypted with TLS 1.2 or higher, using modern cipher suites only.
    • At rest: AES-256 encryption for databases, backups and file storage.
    • On devices: full-disk encryption on every work laptop.
    • Keys and secrets: kept in a managed key vault, never in code.

    Your data never trains AI models

    Brio does not train AI models on your data. Your conversations, transcripts, scores and documents serve one purpose: delivering Brio to your team. Neither do our AI model providers.

    AI and subprocessors

    Brio's AI runs on the leading language and voice models, under our data processing terms, with EU Standard Contractual Clauses and the EU-U.S. Data Privacy Framework wherever they apply. Every provider goes through our security due diligence before it touches customer data. Our subprocessor list is available in our Trust Center.

    Employee data and works councils

    Brio is built for companies with works councils.

    • Privacy mode: switch it on for your organisation and admins see team results only, with no learner names and no individual results. Teams with fewer than three people are hidden, so no one can be singled out. It is enforced on our servers, for every admin.
    • Your team's voices are transcribed in the EU, and only the text is analysed. Brio keeps no audio recordings.
    • Sellers practise in a safe space, without ever putting a real deal at risk.

    Retention and deletion

    Your data is kept for as long as your contract runs. On your request, and at the latest when your contract ends, we return or delete all of it, and confirm the deletion in writing if you ask. Our data processing agreement makes this binding. Admins can remove users at any time.

    • Dependencies are scanned automatically, and known critical vulnerabilities block the change.

    • Our cloud, code and devices are monitored continuously against our security controls.

    Incident response

    • If a security incident affects your data, we notify you within 48 hours at the latest. Our data processing agreement makes this binding.
    • An incident response plan, approved by management and reviewed every year.
    • Rehearsed in realistic exercises: in 2026 on an AI content incident (29 May) and an exposed cloud credential (2 September), with the key improvement live within two weeks each time.

    People and suppliers

    • Every team member commits to our security policies and to confidentiality.
    • Security awareness training for everyone, secure coding training for engineers.
    • Work laptops are centrally managed, encrypted and checked continuously for screen lock and malware protection.
    • Every provider that handles customer data goes through security due diligence on data location, subprocessors and transfers, and we review critical providers every year.
